Hut Booking Terms and Conditions

As with all club huts, there are some straightforward terms and conditions which apply to all non-members hiring Lowstern or Low Hall Garth. By making a booking on our website you will be considered to have read and agreed to these standard Terms and Conditions on behalf of all members of your party.

All hut bookings for Lowstern and Low Hall Garth should be made on-line.

Bookings not made on-line will be accepted only at the Huts Booking Secretary’s discretion.

Provisional Bookings: all bookings will remain provisional until confirmed by the Huts Booking Secretary, and receipt of deposit, if required.

Deposit: For group weekend bookings there is a minimum charge and deposit of £150.00 per weekend (Friday/Saturday nights).

Booking Status: You will receive notification emails from the Huts Booking Secretary when your booking status changes from Provisional, to Reserved, to Confirmed together with a Booking Number to be used in any correspondence.

Keys: About two weeks before your booking commences you will be sent an e-mail with information about the keys and a fees slip to accompany any posted cheques for the balance of fees following your stay.

Payment: the balance of fees is payable immediately after the hire, in accordance with the entries in the Hut Log Book, using the fees slip provided in the notification email. Hut fees should preferably be paid by Bank Transfer to the YRC Hut Account No. 72005688 Sort Code 53-70-00 referencing your Booking Number.

Young Persons: any young persons under the age of 18 must be accompanied by a parent, legal guardian or an adult in loco parentis who has formal permission from the parents of the young person supervised.

The parent or carer must be mindful of the need to safeguard children in their care by ensuring that the sleeping arrangements are appropriate for their children and for the needs of the other members and guests staying in the hut.

The YRC carries out regular risk assessments of its huts to highlight potential hazards and takes reasonable steps to minimise any such risks to users. However, Club huts are not designed with children in mind, therefore the parents or carer must read the respective Hut Handbook and in addition, make their own assessment of the possible risks, considering the age and capabilities of the child in their care, who should be always kept under close supervision at all times.

Fire Safety: all groups must designate a “Responsible Person” who will make sure that everyone on the premises can escape safely if there is a fire. This will normally be the group or meet organiser, and should be the first name entered in the Hut Log Book (see below). The Responsible Person must make themself familiar with the fire safety systems in the Hut Handbook on arrival. Open fires must not be lit in the grounds.

Hut Log Book: all visitors must fill in the Hut Log Book immediately on arrival with the name of the club or group, their Responsible Person and the names of all members of the party (including any
who may be camping or sleeping in a vehicle in the grounds at Lowstern). This is an important safety requirement. (See further information in the Hut Log Book.)

Logs and Kindling: All visitors to our Huts must bring their own supplies of natural logs, compressed wood logs and kindling to burn on the open fires or wood-burning stove.  Coal and coke may not be used. (NB at Lowstern, wood must not be taken from either the plantation or the Members’ wood store).

Parking at Low Hall Garth: our lease restricts LHG users to park no more than 4 vehicles in the marked and signed centre zone of the car park above the cottage.

Electric vehicles: Due to the limited nature of the power supply to the club huts, EV’s and camper vans must not be charged using a ‘normal’ 13A socket at the hut under any circumstances.

Dogs: with the exception of assistance dogs, no dogs or other pets are allowed within the building.

Hirer’s Responsibilities: the Hut hirer shall be responsible for taking reasonable care of buildings, furniture and equipment whilst in residence. Before visiting a hut, the hirer must have read and understood the contents of the Hut Handbook which can be downloaded from the relevant Hut page: Lowstern or Low Hall Garth.

All accommodation and grounds must be left clean and tidy before departure. Full details including a leaving checklist are provided in the Hut handbooks and in the hut.

Any damage either found or caused should be reported to the Huts Booking Secretary when paying.

Data Protection: The YRC collects the Hut hirer’s contact details in accordance with our Privacy Notice and will use them only for administering your booking of one of our Club huts. We will not pass them on to anyone else.
